Job Description:     Legal Administrator

The Onni Group is a leading real estate firm based in Vancouver, British Columbia, Canada with offices in Toronto, Los Angeles and Chicago. This diverse company is vertically integrated with in-house departments responsible for execution of the company’s activities including property development, construction and management as well as leasing, sales and marketing.

This is an exciting opportunity for a talented professional to join the Administration Team in Vancouver as a Legal Administrator. The successful candidate will have an eye for detail, is a self-starter, has excellent time management skill, is personable, and always gets the job done!

Core Duties and Responsibilities:

The successful candidate shall have an interesting role by assisting the Legal and Finance Departments across the traditional boundaries of real estate clerk, corporate clerk and administrative assistant:                                                          

  • Providing administrative support to the Legal and Finance Departments
  • Maintaining the Legal Department filing system
  • Onni File Storage management
  • Organize, file and archive information
  • Perform general office duties – typing, filing, faxing and scanning
  • Maintain Databases
  • Photocopy, Track, Coordinate for project closings
  • Prepare and follow-up with various correspondence
  • Follow up on telephone & email inquiries and respond as appropriate
  • Scheduling and coordinating calendar appointments
  • Prioritize & manage multiple projects simultaneously, and follow through to completion
  • Assist with reviewing documents & reports and follow up with outside parties as required
  • Assure discreet handling of all company business

Candidate Credentials:

  • Legal training and experience will be an asset
  • This position requires a highly motivated, self-starter with excellent communication (both written and oral), time management and organizational skills, as well as the ability to anticipate needs and adapt to changing priorities and daily demands.
  • Proficiency in office technology (including Microsoft Office applications).
  • Excellent planning, organizational and follow-up skills
